Getting started with Billing DDD

This article will outline the process for getting started billing DDD with SpokeChoice.

Center billing

Center billing typically does not require approval of claims if you are:

1) using center billing to enter claims

2) You are not requiring a guardian to electronically sign.

The process is

  • Ensure all your service codes are accurate for DTA and Transportation billing. Transportation is tricky and special attention should be given to understanding it. Click here to learn more about DDD Trasnsporation
  • All your claims must be Admin approved. If you are using paper to prove attendance in a center you will not need to approve claims. If you are requiring guardians to electronically approve they must 'first' approve claims and then you can approve them. Click here to learn how to approve. Note: If you do not requiring Electronic approval for center billing then when an admin/backoffice individual enters them they are automatically approved.
  • Once everything is entered and approved you are ready to output your 837 payment file.

HCBS billing

  • First item is ensure all your service codes, Billing Codes, Modifier, Unit multipliers and rates are accurate. If any of these is wrong you billing will be denied or fail to be exported. Click here if you are not familiar with 837 requirements
  • All HCBS billing, unless you are using a FOB require you get an electronic signature from member or  a guardian. If you would like to use Collaboration to send an in-app message to guardians click here how to send them by a "needs signature" group. Make sure that all guardians have electronically signed timecards for the current period.
  • All Timecards now need your administrative approval. Click here to learn how to approve those timecards.
  • Once you have approved all timecards you are ready to export your 837 payment File
